Privacy Policy

1.1 Purpose

The Parliamentarians Association of British Columbia (PABC) is a non-profit Society under the BC Societies Act, as a chapterhouse of the National Association of Parliamentarians. The Association is run by a group of volunteer Board Members, elected by the Association.  As an Association, we are committed to protect all private information we collect from our members and external stakeholders, in accordance with the British Columbia Personal Information Protection Act (PIPA) under the guidance of the Office of Information and Privacy Commissioner. We are committed to maintaining high standards of integrity and caution when handling personal information entrusted to our organization.

1.2 Definitions

  • PIPA: Stands for the “Personal Information Protection Act”, which is a provincial legislation in British Columbia, which applies to private organization, hereby further referred to as The Act.
  • Personal Information: Identifiable information about an individual.
  • Privacy Officer: At least one (1) member of the organization who oversees our compliance with the Personal Information Protection Act. Their contact information can be found on the final page of these policies.

1.3 Our Responsibility for Personal Information

The PABC is responsible for all personal information that resides under its control and management. To ensure our commitment to data security, we develop, review, and amend policies and standard operating procedures to best safeguard personal information. Our privacy policy may be amended from time to time, to best adhere with federal and provincial privacy practices. We encourage all our kin to review these policies and to stay informed.

1.4 Collection of Personal Information

In order to support our members and our operations, we collect personal information for the following purposes:

  • Supporting your website experience;
  • Facilitating website navigation and add-in features;
  • Sending and publicizing relevant communications;
  • Financial and reporting purposes;
  • Other specified purposes, as they may occur time to time.

1.5 Acquiring Consent

We require consent for the collection, use, or disclosure of individual personal information. When obtaining consent, it may include the following:

  • Subscriptions;
  • Acceptance or signature of disclosure forms;
  • Oral confirmation;
  • In writing, electronic confirmation.

Implicit consent is utilized for processing your queries when using our Contact Us form and when directly reaching out to us via email.

Members may withdraw their consent with reasonable notice given, and PABC will inform the individual of the likely consequences to the consent withdrawal. Individuals may not withdraw consent if it would frustrate the performance of legal obligations of the organization (e.g., the Canadian Revenue Agency).

If members wish to withdraw consent from email communications coming directly from the Association, please navigate to the “Unsubscribe” button at the end of the email. Once members unsubscribe, we will update our records accordingly. If an Unsubscribe button is not visible, please forward the email to privacy@parliamentariansbc.ca to process your request.

1.6 Data Use and Disclosure

The PABC will not collect, use, or disclose your personal information for other than its identified purposes. However, we will disclose personal information in cases where permitted by PIPA or required by the law.

Through the use of our website, your data may be shared with third-party applications such as WordPress, Cloudflare, Google Analytics, and relevant applications that support the function of the site.

1.7 Information Retention

Personal information is stored securely, with limited access by relevant members of the Board who maintain the online presence of the Association. The information is collected and maintained as long as it may be required for the purpose of collection.

1.8 Maintaining Accuracy

The PABC strives to ensure that all personal information collected is accurate and complete. Members are free to contact the Privacy Officer to correct any inaccuracies. All correction requests will be reviewed, and if deemed reasonable, enacted. If a request is not deemed reasonable, the Privacy Officer will confirm the outcome of the review with the individual and leave a notation on the record regarding the correction request.

1.9 Protection

We aim to request the use of, and acquire minimal private information through our website as a precaution. In order to maintain the integrity of our operations, and reasonable security, we limit access to the backend of our website to designated Board member(s) who maintain it. All account access is kept in confidence, with scheduled maintenance windows, and password resets.  Membership data, other basic information that is submitted through the website, is not stored on the website.

1.10 Right to Access

If you would like to inquire about accessing the personal information collected, used, or wish to modify or delete, please contact the Privacy Officer at [email protected]

The request has to be made in writing and submitted to the Privacy Officer, or the President in their absence. The PABC may ask for proof of identity before the information is provided.
